Keep a clear record when a member needs help.
When a member is bereaved, hospitalised or getting married, the society can open a support event and record the money and other support that follows.
Start with the member and the reason for support.
An authorised official opens the event and records the member receiving support.
The society can then collect contributions against that event instead of mixing them into the member's ordinary contribution record.
See what came in.
Contributions made towards the event are recorded as they arrive.
The society can see the amount collected and the share it has agreed to retain for its own operations.
Record what goes to the beneficiary.
The amount intended for the beneficiary can be disbursed from the event record.
If the society needs to hold part of the money until the matter is confirmed settled, that amount can remain recorded as held rather than being treated as already paid.
Keep the event history after it is over.
Once the matter has been settled, the society retains the event record so officials can account for what was collected and where it went.
